How it works

One record, three ways in

The public site, the resident portal and the board console read the same records. Nobody copies anything between them.

An ordinary week

What a week on the board looks like

Five real jobs, each done once, each leaving a record the rest of the board can see.

Example week
  1. Mon

    A neighbor reports a new fence.

    Record the violation and send the courtesy notice. The status moves to "warning sent" by itself.

  2. Tue

    A dues check arrives.

    Press Paid and add the check number. The portal balance and Collections update together.

  3. Wed

    A clubhouse request.

    Check the calendar and approve. The booking fee and deposit post to the household's account.

  4. Thu

    The water's off tomorrow.

    Post an announcement. It appears on the site and portal and is emailed to residents who opted in.

  5. Fri

    A title company needs a letter.

    The request is already paid. Issue the closing letter from the queue.

Roles

Everyone sees their part, and only that

Access follows the seat a person holds. When the seat ends, the access ends with it.

Homeowner

  • Sees the balance, notices, requests, bookings and ballots
  • Can't see a neighbor's record

Treasurer or director

  • Gets the whole console
  • Can't see who filed a complaint if the board chose "President only"

President

  • Everything, including who filed
  • Site settings, feature switches and the audit log

Committee member

  • A portal page showing what the committee may decide
  • No console access

Collections

When somebody stops paying

The account becomes a question of proof. The steps are already on file, in order, and Collections shows what's missing.

    Charge recorded.

    It cites the board vote behind it. The limitations clock runs from its own due date.

  2. 2

    Notice sent.

    Numbered, with the delivery method, address and result recorded.

  3. 3

    Warning and privileges.

    Amenities and voting pause after your threshold and warning.

    Plan offered.

    The owner can request a payment plan from the portal.

    Readiness check.

    "Provable", or a named list of what's missing before a lien.

Getting started

From "let's try it" to residents signed in

Most of setup is typing in what you already know. Do it yourselves with the guide, or have us do it.

  1. Open the demo.

    Nothing to install and nothing to sign.

  2. Talk to us.

    We confirm your plan and create your community at yourname.hoainabox.com.

  3. Set it up.

    Follow the setup guide, "an afternoon's work, in order": name, logo, contact details, switches, homes.

  4. Invite residents.

    Invitations go by email. New account requests wait for the board to match them to a home.

  5. Your domain, when ready.

    Point it at us whenever you like. Nothing is rebuilt.

FAQ

Before you start

How long does setup take?
The manual's setup guide is written as an afternoon's work. Or we do it: $299 up to 200 homes, $499 above.
What happens to our old records?
Start your books from a chosen date, so old history isn't re-keyed. Older violations can be entered at whatever stage they're at.
Do residents need to download an app?
No. The site, portal and console work in a browser on a phone or computer.
Can we start with just dues and documents?
Yes. Switch the rest off; nothing is deleted, and it's there when you want it.
Can anyone make an account?
Not by default. Sign-up requests wait for the board to approve which home they belong to.
